Job Summary:
We are seeking an organized and energetic Office Manager to manage daily operations and enhance the workplace experience in our Vietnam office.
Key Responsibilities:
Office Operations Management:
- Oversee daily office operations to ensure a smooth and efficient work environment.
- Act as the primary contact for all administrative and operational functions.
- Manage office facilities, including maintenance, cleanliness, and supplies.
Employee and Guest Experience:
- Greet visitors, manage front desk responsibilities, and support on-site meetings.
- Collaborate with HR to coordinate employee onboarding, internal processes, and office events.
- Facilitate office events, including celebrations, team gatherings, and meals.
Vendor and Service Provider Management:
- Maintain positive relationships with local vendors, including building management and cleaning services.
- Coordinate travel and hotel arrangements for visitors, in partnership with the Purchasing team.
Financial Administration:
- Handle petty cash and office expense matters in coordination with Finance.
Mail and Shipping Coordination:
- Oversee all mail and shipping needs, ensuring timely notifications to employees.
Supplies and Inventory Management:
- Manage inventory and replenish office supplies as needed.
Employee Support:
- Serve as a go-to person for local and visiting employees.
In-Office Preference:
- For optimal efficiency in managing daily office tasks, this role requires a consistent in-office presence all 5 work days in a week.

Experience Required:
- 3+ years in general office administration.
- Service-oriented with the ability to multitask and handle various administrative tasks.
- High-energy, assertive, and able to create a welcoming atmosphere.
- Proficiency in Microsoft Outlook & Office.
Preferred:
- Experience in a multi-national working environment.
